Festival of Nations Vendor Guidlines & Instructions - 2025

Important Vendor Information (Please Read Carefully)

To participate in the 2025 Festival of Nations (FON), all vendors must complete the application and fulfill the following conditions:

General Guidelines

  • Event Date: Saturday, July 26, 2025

  • Time: 10:00 AM – 6:00 PM (Set up by 9:00 AM)

  • Booth size is 10’x10’. You may purchase additional space in increments.

  • Vendors must bring their own tents, tables, chairs, hand trucks, etc.

  • No vendor vehicles allowed inside the festival area after 9:45 AM

  • Mandatory vendor parking is at King Middle School, with printed parking permit.

  • No refunds for cancellations or rain.

  • Festival follows a carry-in, carry-out trash policy.

  • No subletting of space is allowed.

Vendor Categories & Permit Requirements

  • Food/Beverage Vendors:
    Must obtain a City of Portland Temporary Food Service Permit.
    Insurance is required. You must also list all food items and prices.

  • Craft Vendors / Exhibitors / Demonstrators:
    Must obtain a Street Goods Vendor Permit.
    No insurance required.

  • Local/Neighborhood Organizations:
    Must obtain a Street Goods Vendor Permit.
    No insurance required.

  • State or Municipal Agencies:
    Must obtain a Street Goods Vendor Permit.
    No insurance required.

Food Vendor Rules:

  • Food must be prepared on-site, in a licensed kitchen, or be pre-packaged

  • Home kitchens are not allowed

  • If needed, we can help assign a licensed kitchen near your location

  • Only gas grills are allowed — no charcoal or open flames

Insurance Information

All food vendors are required to either:

  • Submit a Certificate of Insurance showing coverage of at least $1,000,000, listing:
    “Women In Need, Industries” as additional insured

    OR

  • Pay an additional $200 for FON to provide a one-day insurance policy on your behalf

Vendor Fees

1. Food/Beverage Vendors:

  • $375 if applying after June 10

  • $337.50 if applying on or before June 10

FON One-Day Insurance Option (for food vendors only):

  • $200 flat fee

2. Craft Vendors:

  • $75 if applying after June 10

  • $67.50 if applying on or before June 10

3. Local/Neighborhood Organizations:

  • $50 if applying after June 10

  • $45 if applying on or before June 10

4. State/Municipal Agencies:

  • $200 if applying after June 10

  • $180 if applying on or before June 10

Required Forms to Complete

You may be required to upload one of the following forms during your application:

  • Temporary Food Service Permit (City of Portland)

  • Street Goods Vendor Permit
